We recently found success helping a client deploy Microsoft Copilot to streamline business processes and solve problems. Copilot excels in several areas right out of the box, but building chat agents with Microsoft Copilot Studio enables us to accomplish even more.
The Problem: Overwhelmed HR Staff
One of our clients recently acquired another company. As you’d expect, questions from new employees about changing benefits began flooding the HR department. It was too much for the existing HR staff to handle. They struggled to keep up with the volume of calls and emails, let alone respond with thoughtful, personalized responses. Our client was reluctant to hire additional HR staff, knowing this was most likely a temporary problem. Still, they didn’t want newly acquired employees’ interactions with HR to elicit groans and erode their confidence.
The Solution: Copilot HR Chat Assistant
We proposed building a chat-based HR assistant using Microsoft Copilot Studio that could be deployed directly within Microsoft Teams. Since employees were already using Microsoft Teams for communication, deploying the assistant within a familiar solution encouraged adoption and ease of use. Additionally, the low-code nature of Copilot Studio allowed us to build and deploy this solution quickly.
The HR department identified the most frequently asked questions among new hires, including those related to time off, 401(k) benefits, and health insurance. We moved the policy documents into a searchable database and pointed the HR Chat Assistant to the data. Simple questions received immediate responses in a friendly, conversational tone. Existing security policies enabled Copilot to access the new hires’ personal information.
The Result: HR Relief and Happier Staff
Within the first week of deployment, the HR Chat Assistant handled the majority of routine inquiries automatically, allowing HR staff to focus on more complex employee questions and needs.
The success of the assistant opened doors to expanding Copilot Studio implementations across other departments. Our client is now exploring similar solutions for IT support, facilities management, and employee onboarding processes.
